    Hello,

    We are using Microsoft Teams for all our board and committee meetings. It allows us to do audio and video. It also has a recording option if you choose to do that.

    We have been using Zoom for Committee meetings consistently and used it for the Board meeting  last month with great success. There are a couple of new features on security for Zoom. You can lock the meeting once you have all the participants. You can have people enter with ID and password. Being user friendly its very easy to use.

    We have been using Webex since the end of March for video meeting capability.  We find it to be very stable and were able to easily orient our directors on the system remotely.  We use it primarily on our board issued iPads.

    Our Directors sit on a number of other boards and have commented that it is the most stable platform they've used and has the best experience. 

    We use MS Teams internally and I do not find it as reliable as Webex.

    We have tried Zoom, GoToMeetings, and Webex, and conducted a survey of our members to determine their preferences. We discovered that many of our members' firms did not allow them to use Zoom. GoToMeetings was great but we found it expensive. Webex was our members' number one choice. We have a large number of committees and use Webex for most of those meetings and all of the board and board committees. Anyone who had difficulties with the video conference was able to connect with the dial in number. I also manage board and committee meetings for an international association, and will be trying Webex with them as well.

    Now that we've got more experience behind us - and have acknowledged that in person won't be possible for months to come - here is info on what we've been doing.

    1. and 2.  For our March meeting, we used an audio-only format.  For May - and planning for August - Zoom is our platform due to the size of the Board (21 members and five staff, not including presenters).  We have a couple of members who access through audio-only for differing reasons; everyone else uses the video option.  By late May, Zoom had rolled out their additional  security features; prior to that we would not have been willing to use it.

    3. For March, we cancelled Committee meetings; in May we went ahead as planned and used Microsoft Teams, as there are fewer participants. 

    Other info:

    We have re-designed our board agendas to focus the discussion agenda on critical matters and use a "heavier consent agenda".  The chair is very clear at the start of the meeting to ask whether any director wants to discuss any of the items in the consent agenda - somehow with more care than usual as we have put items in there that would normally be included in the discussion agenda. (The Chair always asks; must be something in the tone at these meetings that tries to force people to consider the question carefully.) 

    In the past, we have used GoToWebinar for virtual meetings when we have needed to share confidential/sensitive presentation slides that we didn't want to post to the board portal. 

    Our AGM was virtual in 2019 using GoToWebinar.

    We have been using Zoom (videoconference option only) for our Board and Executive Committee since March 2020 and MS Teams for all other sub-committees.  Only the Board and EC are truly formal in the sense that only those two entities pass resolutions/give direction to the organization.  The security upgrades ensure no "Zoom bombing" and the built-in voting (polls) in Zoom work well.  I also am grateful for the generated reports (attendance, polling results).

    Our sub-committees only make recommendations to either or both entities (Board and EC).  MS Teams has been a great platform for collaborative work, especially our Communications Committee.  We decided against Teams for the Board and EC because of the extra apps required for approval process, simultaneous translation, etc.

    We will be using Zoom for our AGM again and are really happy to learn of the integrated system for simultaneous translation.  This avoids the extra expense and bother of contracting the extra phone lines.  Because we have a clause in our By-laws with respect to voting confidentiality, joining by teleconference is not permitted.

    If some members cannot use Zoom on their work devices, I would explore the possibility of them using their personal devices instead.  We initially had the same issue because we are a union and our Board is prohibited from using their employer's network and non-authorized platforms.

    We've been using Microsoft Teams for board and committee meetings and it is apparently working well.
