Board meeting packages/briefing documents

    As a not-for-profit organization, we are sensitive to the voluntary role our directors play on our boards and committees.  We are reviewing our briefing package sent out to directors in advance of the meetings, in terms of:

    • volume of material - to provide sufficient information, but not an overwhelming amount.  Is there an ideal quantity - for example, less than 50 pages?;
    • content - should presentations form part of the package of pre-read documents?
    • timing - how far in advance should pre-read materials be sent - typically we send out 1 week in advance.  Would it be advantageous to send these out 2 weeks in advance?

    I would be interested to hear about your practices and experiences on this matter.

    Our Board Packages are sent electronically (Aprio) one week prior to the BOD meeting. The volume of information varies from meeting to meeting, but generally runs from 100 pages to 300 pages of information. Considerable yes - informative - also yes.

    The Chair has an expectation that all material is reviewed prior to the meeting. Generally the Board appreciates all of the information. We do not include presentation material in the package.

    Depending on where your Board is coming from and going to, the electronic version of the board package, regardless of size, can be postively received. Considering that our Board was receiving their package in paper form, contained in a binder, and couriered, we have come a long way!!!
